How to Submit Your Work to the RDSA

The Rice Digital Scholarship Archive (RDSA) is Rice's institutional repository, a web site where the university's intellectual output is shared, managed, searched, and preserved. Learn more about the RDSA here.

Prepare Your Submission

In determining whether a work is well-suited for the RDSA, we will consider the following factors:

  • The work must be produced or sponsored by Rice faculty, researchers, staff or students. Undergraduate students must receive prior permission to deposit to the Archive and typically will be asked to secure sponsorship from a faculty member or Rice organization.

  • The work must be scholarly, educational, creative or related to the university's mission.

  • The work must be in a digital format.

  • The work must be complete, permanent and ready to be distributed. (Embargoes are available if you would like to delay access to the work for a specified period of time).

  • The creator/ copyright owner must be willing and able to grant Rice University the right to publicly distribute and preserve the work via the RDSA.

    • If you transferred your copyright to a publisher, you may still be able to deposit a version of your work. To determine if your journal/publisher permits deposit, please see SHERPA/RoMEO--a database of journal publisher self-archiving policies--or contact Digital Scholarship Services at cds@rice.edu.

  • The library must have the capacity to preserve and sustain the work over the long-term.

    • Please see our list of supported file formats.

    • In general, we cannot house large datasets, but we do offer expertise on identifying appropriate disciplinary repositories.

 

Deposit Your Work

  1. There are several ways to start the submission process:

    1. To make the submission process easier, Fondren Library offers a quick submission form. The webform can be accessed two ways:

      1. From the RDSA homepage, click on the “Deposit Your Work” button.

      2. Access the submission webform here: https://library.rice.edu/submit-your-work

    2. If you would like to deposit work yourself, please contact Digital Scholarship Services at cds@rice.edu.

  2. Complete the webform. Include as much information about the work as possible.

    1. Include a link to the file or folders you would like deposited. To ensure that large files can be easily transferred, please upload your work to any cloud service that creates a link to the file or folder (e.g., Rice Box, Google Drive, Dropbox).

    2. You will have the option of assigning a digital object identifier (DOI) to your work. Generally these are assigned to works that have not previously been assigned a DOI elsewhere. Learn more about DOIs here.

    3. Agree to the Non-Exclusive Deposit License, which allows Rice to distribute and preserve your work.

  3. Your submission will be processed by Fondren Library staff within seven days. You will be notified by email when your work has been deposited in the archive and provided a permanent URL (and DOI, if requested) for your work. Library staff may contact you if there are questions or concerns about your submission.
