Endnote is a powerful bibliographic software tool.


  • EndNote is an online search tool -- it provides a simple way to search online bibliographic databases and retrieve the references directly into EndNote. (EndNote can also import data files saved from a variety of online services, CD-ROMs, and library databases.)
  • EndNote is a reference and image database -- it specializes in storing, managing, and searching for bibliographic references in your private reference library. Now you can organize images including charts, figures, and equations with a caption and your own keywords.
  • EndNote is a bibliography and manuscript maker -- it formats citations and figures in Microsoft Word with the Cite While You Write technology. An Endnote library is a collection of references (or citations) that are usually on a single topic (your thesis, for example). Each reference in a library is composed of different fields, such as author, date, journals, etc.

Entering References into a Library

There are 3 ways to enter references into an Endnote library:

1. Type them by hand.
2. Download them from a database and import into your library.
3. Connect directly to & search a database from Endnote.

1. Typing by Hand

--choose references>new.

--enter in author, year, etc. by hand (use tab key to go to next field). Alternatively, you may cut and paste field information from an existing document. Author's name may be entered either first last or last, first.

2. Downloading from a Database:

--When you search a database like Biosis, Medline or Eric, you can save your search results and import them directly into your library. To import them, you must use the proper Endnote filter.

--Once you have saved your search results, go to file>import.

  • For "import data file," choose your saved search.
  • For "import option," choose the filter for your database. Remember to note both the database name (Biosis, for example) and the information provider
  • For duplicates, you can have Endnote compare incoming records with those already in your library & discard any duplicates, or you can import them all. You can also later search for duplicates already in your library.

--Note: certain databases, such as the Web of Science Citation indexes and the Proquest databases, allow you to export records directly from them into Endnote without a filter. Others, like any of the OCLC databases, allow you to directly export but will ask you to select the filter. In either case, you won't have to do the "file>import" routine.

3. Connecting Directly to a Database from Endnote:

Connection files let you search a database directly from Endnote. Currently, the connection files that work for Fondren patrons are:
a. the library catalog;
b. PubMed (for Endnote 6 and later);
c. ISI Web of Science databases; and
d. most of the OCLC databases (Eric, Medline, Worldcat, and many others).

To use a connection file, you first need to select it in the connection manager folder.



Direct Export to EndNote


From Webcat (Fondren Library Catalog)

Go to (from the menu bar) tools > connect >connect and choose Rice U. 
If it doesn't have Rice you should be able to import our settings through:

All you need to do is save this file into C:\Program Files\Endnote\Connections.

Several database vendors support direct export to EndNote. Using this option eliminates the need for a connection file or filter. It allows you to save the references you've selected from a database and then export them directly into your EndNote library. Vendors/databases that currently support direct export include:

Basic instructions for using direct export include the following:
  • execute your search
  • mark your citations
  • view your marked items
  • select the direct export option to EndNote

Specific Database Instructions: PubMed

  1. Access PubMed and execute your search.
  2. Once results are retrieved, place a check next to relevant records and then select "Clipboard" from the pull-down menu next to the "Send to" button found on the Action Bar. Click the "Send to" button.
  3. When finished searching and marking records, select "Clipboard" from the Features Bar to display marked citations. On this page, select "MEDLINE" in the dropdown menu next to the "Display" button on the Action Bar.
  4. Choose "File" from the "Send to" drop-down list, and then click on "Send to."
  5. Select "Save" on the following screen. In the next screen you will be able to change the file name (we recommend saving with a *.txt extension).
  6. In EndNote, open the library where you would like these references saved.
  7. Select "Import" from the "File" menu. Next to "Import Data File", click "Choose File" and find your saved text file. Select from the pull down menu of "Import Option" "PubMed (NLM)".
  8. Finally, click the Import button.



Using EndNote with Word

Manuscript Templates

If you are writing a thesis, or writing for publication in a journal, you may find these templates useful, as they provide a guide that makes the writing process easier. EndNote comes with templates for quite a number of journals and thesis styles such as MLA and APA. They open up as Word templates.

To open a manuscript template:
From Tools, select Manuscript Templates
Navigate to the templates folder in EndNote
Select the title of the journal you need and click Open. The template will appear ready for you to type in your text.

Removing field codes from your final document
If you are sending your document to a publisher or have completed a paper, you will want to unlink your document from your EndNote library. To do this you open your formatted Word document and click on the remove field codes button in the EndNote toolbar in Word. A copy of the document, without field codes, appears in a new window. Save this document with a different file name. (You cannot reformat this document, but the original document can still be reformatted).
