Policy Statement for Placing Materials on Library Reserve

This policy has been established by the library and reviewed by the Faculty Committee on the Library. Any special circumstance or problems should be brought to the attention of the Head of Circulation.

  1. Required and recommended readings for Rice University courses will be placed on reserve at the request of the faculty member. Journal articles may be placed on reserve only in photocopy form, and these copies must be made at departmental expenses.
  2. Books and other materials to be placed on reserve should be listed on Reserve Room forms and submitted to the Circulation Desk by July 25 for the fall semester and November 25 for the spring semester. After these dates, faculty members should bring the books and the lists to the Circulation Desk to place materials on reserve. Exceptions will be made for new faculty.
  3. Lists are processed in the order received, and every effort is made to have materials on reserve by the first day of classes. Faculty will be notified before classes begin if an item is not available so that other arrangements can be made. Materials received after 4 PM or on a weekend will not be available for two working days.
  4. Personal materials will be placed on reserve if accompanied by a form releasing the library from liability for the material. While security is provided for personal materials placed on reserve, we cannot accept liability for these materials.
  5. The following limits will be observed:
    • A maximum of five photocopies of any copyrighted material may be placed on reserve. For large classes, one copy for each ten students will be accepted for required readings, and one copy for each twenty students for recommended readings, up to the five copy limit. The Rice University Copyright Policy (Policy Memorandum 303-90) applies to all material accepted for reserve purposes.
    • Leaflets and other loose material should be organized into logical groups with a single title assigned each group. Due to copyright restrictions, we will not place Kinko's course packets on reserve.
    • The library will purchase and catalog up to two copies of any book needed for reserve. If the library owns a title, one added copy can be ordered for reserve. Single added copies of more than ten items per course will require the approval of the department chair.
    • If more than two copies of any monographic item are required for reserve, they must be purchased with departmental funds (but not the departmental library book budget) through departmental purchase orders. These added copies will be prepared for the Reserve Room by the Circulation staff, but will not be cataloged and classified. If not used on reserve in any two consecutive school years, these added copies will be returned to the department.
  6. All materials will be removed from reserve the last day of the exam period unless a written request to leave them on reserve is received prior to that date. Personal items should be picked up by January 5 after the fall semester and June 1 after the spring semester. Space limitations do not allow material to remain in the library. After the above dates, the library will have to discard the material. Reminders will be sent on the last day of classes.
